Privacy Policy

1. Overview

CryoEM Services ("we," "us," or "our") operates the website at cryoemservices.com(the "Site"). This Privacy Policy explains how we collect, use, and protect information when you visit the Site.

We are a publicly accessible directory and do not require an account to browse. We do not sell your personal information. Our data handling is otherwise passive, with two optional exceptions:

• the Talent Network (see Section 8) — if you join, you provide a profile and may upload a resume, and we share that information with recruiters and employers only when you have explicitly opted in; and
• the Funding Finder (see Section 9) — if you request personalized funding matches, you provide your name, email, and research details. We do not share this with third parties.

2. Information We Collect

Information you provide

If you contact us via email or any contact form, we may receive your name, email address, and message content. We use this solely to respond to your inquiry.

Automatically collected information

When you visit the Site, our hosting provider may automatically collect standard server log data, including your IP address, browser type, referring page, and pages visited. This data is used for security monitoring and aggregate analytics only.

3. Cookies & Analytics

We use Vercel Analytics and Vercel Speed Insights to understand how visitors use the Site. These tools collect anonymous, aggregated data such as page views, referrer URLs, browser type, country, and page load performance. Vercel Analytics does not use cookies and does not collect personal data or IP addresses. No cookie consent banner is required.

We do not use advertising cookies, retargeting pixels, or third-party behavioral tracking tools.

4. Third-Party Links

The Site contains links to external websites, including university core facilities, equipment vendors, and commercial service providers. These links are provided for informational purposes only. We are not responsible for the privacy practices or content of third-party websites. We encourage you to review the privacy policies of any external site you visit.

Some outbound links may be affiliate links. Clicking these links does not share any of your personal data with us; however, the destination site's own privacy policy will govern any data they collect.

5. Data Storage & Security

Directory data (facility names, equipment lists, and publicly available institutional information) is stored in a secured database hosted by Supabase, Inc. We implement industry-standard security measures including encrypted connections (TLS/SSL), row-level security policies, and restricted database access.

We do not store passwords. Talent Network profiles and any uploaded resumes are held in a private, access-restricted Supabase storage bucket that is not publicly accessible or search-indexable; resume files are reachable only through short-lived, authenticated links.

Funding Finder profiles (Section 9) are stored in a separate access-restricted database table with row-level security enabled and no public read access — they are readable only by our server, never by the browser.

Match analytics. When you request funding matches we also record an internal event containing your research subjects, career stage, region, whether you pasted a biosketch, and how many opportunities matched. We use this solely to measure and improve the matcher — for example, to see which research areas our catalogue is missing. It is stored in the same access-restricted way (server-only), is never sold or shared with third parties, and is deleted along with your profile if you ask us to remove your data.

6. Children's Privacy

The Site is not directed to individuals under the age of 13. We do not knowingly collect personal information from children.

7. Your Rights

If you have joined our Talent Network, requested funding matches, subscribed to job or funding alerts, or contacted us by email, you may request access to, correction of, or deletion of your personal data at any time by emailing us — we will comply within 30 days. You may withdraw any consent (job alerts, recruiter sharing, or funding update emails) at any time and we will stop the relevant processing. Depending on where you live — for example the EU/UK under the GDPR or California under the CCPA — you may have additional rights, including data portability and the right to object to processing.

8. Talent Network & Candidate Data

Our Talent Network is an optional service for job seekers. When you join, we collect the information you provide — such as your name, email, career stage, location, fields of interest, instruments and software experience, links you add, and any resume/CV you upload.

We use this information to match you with relevant cryo-EM, cryo-ET, structural biology, and mass spectrometry roles. We collect two separate, specific consents at sign-up:

• Job alerts — to email you about matching new roles (optional).
• Recruiter sharing — to share your profile and resume with recruiters and employers hiring for relevant roles (required to join the network; you may withdraw it at any time).

We do not sell your data. We share it only with hiring parties, and only under the recruiter-sharing consent above. Resumes are stored privately (see Section 5). You can update or delete your profile, or withdraw either consent, at any time by emailing us (Section 9). We retain profiles only while they remain useful for matching; you can ask us to remove yours at any point.

9. Funding Finder & Research Profile Data

Browsing the Funding Finder is free and requires no account or personal information. If you request personalized funding matches, we collect the details you submit: your name, email address, and optionally your institution, career stage, region, research subjects and disease areas, techniques, and the text of a biographical sketch (biosketch) or CV you choose to provide.

We use this information for two purposes: to generate your ranked list of funding opportunities and eligibility results, and — only if you tick the optional box — to email you when new matching opportunities are added. Matching is performed by our own software using the details you provide; it is not used to make any decision with a legal or similarly significant effect on you.

• We do not sell this data, and we do not share your funding profile with recruiters, employers, funders, or any other third party.
• Biosketch handling — if you upload a document, we extract its text to identify your research subjects and store only that extracted text. We do not retain the uploaded file.
• Separate from the Talent Network — funding profiles are stored separately and are never added to the recruiter-accessible candidate pool described in Section 8.

Funding profiles are held in a private, access-restricted database table that is not readable from the browser and is not search-indexable. You can request access to, correction of, or deletion of your funding profile — or unsubscribe from funding update emails — at any time by emailing us (Section 11). We retain profiles only while they remain useful for matching.

Funding listings are curated for informational purposes and are provided without warranty. Amounts, deadlines, and eligibility criteria change — always confirm details with the funder before applying.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated "Last updated" date. Your continued use of the Site after changes are posted constitutes acceptance of the revised policy.
